This policy explains how Wema Welfare Association, Queensland handles personal information on this website. It is written for the Australian Privacy Principles in the Privacy Act 1988 (Cth).
Questions and privacy complaints go to admin@wemawelfare.org.au.
What we collect
We collect the information needed to run membership and welfare. That includes:
- Account details: your name, email address, phone number, and the password you choose. We store the password only as a hash.
- Membership profile: address, date of birth, gender, profile photo, and your membership ID once the membership fee is paid.
- People you record: next of kin, and nominees, including a child or other family member you choose to nominate, together with any proof of relationship you upload.
- Welfare records: payout requests and the bank details an official needs to complete a payment. Bank details are shown only to officials who are permitted to see them.
- Payment records: the amount, currency, status, and the reference returned by Stripe. Card numbers are collected by Stripe, not stored on this website.
- Terms acceptance: the constitution version you accepted, the time, and the IP address of that acceptance.
- Security information: sign-in session data, and the IP address and browser details our server logs when you use the website.
How we collect it
Most of this information comes from you, when you register, complete your profile, accept the constitution, pay, or submit a nominee or payout request. Officials may also record an offline payment against your membership. If address search is turned on, the address you look up is sent to Google to return suggestions. Public forms may use Cloudflare Turnstile to reduce automated sign-ups.
Why we use it
We use personal information to:
- create and protect your account, including email verification and password reset;
- administer membership under the association constitution, including the one-time membership fee shown at checkout;
- run welfare membership, the waiting period, nominees, bereavement payouts, and reimbursements;
- send you emails about your account, payments, and welfare matters;
- keep the website secure and investigate misuse.
We do not sell personal information. We do not use it for unrelated advertising.
Who we share it with
Officials of the association can see the records their role allows. Service providers process some information for us: Stripe for card payments, our email provider for membership messages, Google when you use address search, and Cloudflare when a form uses Turnstile.
Those providers are likely to handle information in the United States and in other countries where they operate. Where information goes overseas, we take reasonable steps to see that it is handled consistently with this policy.
Cookies
The website sets a session cookie so you can stay signed in, and a security cookie that protects forms from cross-site requests. Those cookies are necessary to use an account. Stripe and Turnstile may set their own cookies when a payment or a public form loads. We do not use advertising cookies.
Access and correction
You can review and update much of your profile after you sign in. To access other personal information we hold, or to ask for a correction, email admin@wemawelfare.org.au. We will respond within a reasonable time. We may ask you to confirm you are the member the record belongs to.
Complaints
If you believe we have handled your personal information in a way that breaks the Australian Privacy Principles, write to admin@wemawelfare.org.au with what happened and what you would like us to do. We will acknowledge the complaint and tell you the outcome.
If you are not satisfied with that outcome, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
If information is compromised
If we have reasonable grounds to believe a data breach is likely to result in serious harm, we will notify the people affected and the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.
How long we keep it
We keep membership and payment records while you are a member and for as long after that as the association’s records, tax obligations, and any dispute require. When information is no longer needed, we delete it or de-identify it.
